A practical guide to the data a hotel PMS integration should share with housekeeping, from room status to reservation remarks. It explains one-way versus two-way sync and lists the questions to ask a vendor.

In short
• A PMS integration for housekeeping should sync room status in both directions, not only read arrivals and departures. • Stayover service choices, guest numbers, reservation remarks and room moves all change how housekeeping plans the day. • A one-way integration still needs someone to update the PMS by hand when a room is clean. • The Views Hotels connected Sweeply to Host PMS, stopped using paper within a month and reports 60% fewer housekeeping activities. • Ask each vendor which fields write back to your specific PMS and how fast room status changes appear.
A hotel PMS integration for housekeeping should sync room status in both directions, plus arrivals, departures, stayovers, guest numbers and reservation remarks, as they change during the day. Sweeply is hotel housekeeping and operations software that sits on top of your PMS through two-way integrations with 20+ PMS platforms, so the front desk and the housekeeping team always work from the same room status.
This guide lists the data that matters, shows how to tell a live two-way integration from a nightly export, and gives you the questions to ask a vendor before you sign. Disclosure: Sweeply sells housekeeping and maintenance software that integrates with PMS platforms, so read it with that in mind.
What PMS integrations does a hotel need for housekeeping?
Start with one connection: the PMS to your housekeeping tool. The PMS knows who arrives, who leaves and who stays, and housekeeping knows which rooms are clean, which are inspected and which have a problem. If those two facts live in separate systems, someone has to carry them across by phone, radio or paper, and that is where rooms are sold dirty or sit clean but unreleased.
Once that link works, two more connections usually follow. Guest requests from a guest app or messaging tool should arrive as tasks for the right team, which is what Guest Connect does. Repairs should block and release rooms in the PMS when a technician closes a job, which is the job of hotel maintenance software. All three rely on the same base: a reliable PMS integration that keeps room status correct everywhere.
If you are not sure what your current PMS supports, the Sweeply integrations page lists every PMS we connect to, and our guide on the benefits of PMS and task management integration covers the business case in more detail.
Which data should sync between the PMS and housekeeping?
Not every field in the PMS is useful to a room attendant. The table below lists the data that changes how housekeeping plans the day, the direction it should flow and why it matters.
Data | Direction | Why housekeeping needs it |
|---|---|---|
Room status (dirty, clean, inspected) | Both ways | The front desk can only assign a room once housekeeping marks it ready, and housekeeping needs to see rooms the front desk has changed. |
Arrivals and departures | PMS to housekeeping | Departures decide which rooms get a checkout clean, and arrival times decide which rooms to clean first. |
Stayovers and service choices | PMS to housekeeping | Stayover rooms need a lighter clean, and guests who opted out of daily housekeeping should not get one. |
Guest numbers, extra beds and cots | PMS to housekeeping | The room has to be set up for the right number of people before the guest arrives. |
Reservation remarks and VIP flags | PMS to housekeeping | Allergies, celebrations and special requests turn into setup tasks instead of notes nobody reads. |
Room moves and same day bookings | PMS to housekeeping | The plan has to change when the front desk moves a guest or sells a room at noon. |
Out of order and out of service | Both ways | A blocked room should leave inventory, and it should return to sale as soon as the repair is signed off. |
If the codes in your PMS and your housekeeping tool do not match, the integration has to translate them. Our guide to hotel room status codes explains what VD, VC, OOO and OOS mean and why the mapping matters.
What is the difference between one-way and two-way integration?
A one-way integration only reads from the PMS. Housekeeping sees today’s arrivals and departures, but when a room attendant finishes a room, someone at the front desk still has to update the PMS by hand. That gap is small on a quiet day and expensive on a busy one, because every clean room that is not released is a guest waiting in the lobby.
A two-way integration also writes back. When a room is marked clean or inspected in the housekeeping app, the PMS updates on its own, and the front desk can check the guest in without calling anyone. Changes made in the PMS, such as a room move or a late checkout, flow the other way into the housekeeping plan.
Signs that an integration is not truly two-way:
Housekeeping status in the PMS only changes after a supervisor updates it at a computer.
The daily plan is built from a report exported in the morning and does not change after that.
Room moves and late checkouts reach housekeeping by phone or radio.
Out of order rooms have to be blocked in two places.
How quickly should room status update?
Fast enough that nobody needs to phone. In practice that means the change made on a room attendant’s phone appears in the PMS while the guest is still at the desk, and a room move made by reception appears on the housekeeping plan before the attendant reaches the wrong door.
Ask the vendor how updates travel for your specific PMS. Some PMS platforms push changes the moment they happen, while others are checked at an interval, and the answer can differ between two hotels on the same housekeeping tool. If the update relies on a scheduled sync, ask how often it runs and what happens if it fails.
How does this work in a real hotel?
The Views Hotels runs 750 rooms across three hotels on Madeira and had worked with Host PMS for more than a decade. Before Sweeply, housekeeping schedules, maintenance requests and room readiness updates were handled on paper or by phone. With the Host PMS integration, Sweeply pulls room status and housekeeping schedules from Host in real time and pushes updates back, which triggers cleaning tasks and room turns without manual follow up.
After a month the hotel stopped using paper completely. The group reports 60% fewer housekeeping activities and an estimated EUR 5,370 a month in savings at The Views Oasis, partly because guests can opt out of daily cleaning and the opt out reaches housekeeping automatically. You can read the full story in The Views Hotels case study.
Reservation remarks are the other field worth automating. At THE FLAG Zurich, on Apaleo, the Sweeply AI agent Tracey reads remarks from the PMS and routes them to the right team as tasks, with 99.7% accuracy and more than 8 hours a week saved. See how THE FLAG Zurich uses it and the AI agents overview.
Which questions should you ask a vendor about PMS integration?
A logo on an integrations page tells you that a connection exists, not what it does. These questions show whether it will work for your hotel:
Is the integration with our PMS two-way, and which fields does it write back?
How fast do room status changes appear in each system, and is that the same for our PMS?
Does it read stayover service choices, such as guests who opted out of daily housekeeping?
Does it read reservation remarks, guest numbers, extra beds and VIP flags?
How are room moves, late checkouts and same day bookings handled during the shift?
Can out of order rooms be blocked and released from the housekeeping or maintenance app?
Who sets up the connection, who supports it, and how long does it take for a property like ours?
If you are planning the project itself, our 30 day integration blueprint walks through the steps from first call to go live.
What goes wrong with PMS housekeeping integrations?
Most problems are not technical failures. They come from assumptions that nobody checked before go live:
Status mismatch. The PMS has no inspected status, so a room marked clean is released before a supervisor has checked it. Agree which status releases a room.
Service choices left in remarks. If guests opt out of daily housekeeping through a free text note, the integration may not read it. Use a dedicated field or service where the PMS allows it.
Two places to block a room. If maintenance blocks rooms in one system and the front desk in another, inventory drifts. Pick one source and let the integration carry the change.
Groups on several PMS platforms. A hotel group with different PMS platforms per property needs each connection tested on its own, not just the one at head office.
Where this guide does not apply
Very small properties where one person runs the front desk and the cleaning may get little from a separate housekeeping tool, because the status already lives in one head. The same applies if your PMS has no open interface or runs on a local server without a supported connection: check the integrations list first, because no housekeeping tool can sync data the PMS does not share. Holiday apartments cleaned by an outside contractor who never logs in to hotel systems also sit outside this guide, since the integration ends where your team stops using the app.
For hotels with a dedicated housekeeping team, the hotel housekeeping software page shows how Sweeply builds the daily plan from PMS data.

Conclusion
A good hotel PMS integration for housekeeping is two-way, carries room status, arrivals, departures, stayovers and remarks as they change, and removes the phone calls between the front desk and the housekeeping team.
Frequently asked questions
What PMS integrations does a hotel need for housekeeping?
Start with a two-way connection between the PMS and your housekeeping tool, so room status, arrivals, departures and stayovers stay in sync. Guest request and maintenance connections usually follow on the same base.
Which data should a hotel PMS integration send to housekeeping?
Arrivals, departures, stayovers, service choices such as opting out of daily cleaning, guest numbers, extra beds, reservation remarks, VIP flags and room moves, plus out of order and out of service blocks.
Is a one-way PMS integration enough for housekeeping software?
Usually not. A one-way link shows housekeeping what to clean, but the front desk still has to update room status by hand, which delays check in. A two-way integration releases clean rooms automatically.
How do I know if my PMS is supported?
Check the Sweeply integrations page, which lists every PMS we connect to, or ask the sales team which fields sync with your specific PMS and version.
Can reservation remarks become housekeeping tasks automatically?
Yes. The Sweeply AI agent Tracey reads reservation remarks from the PMS and routes them to the right team as tasks, with 99.7% accuracy at THE FLAG Zurich.
