Get started with Sweeply in 24 hours
On a supported PMS, Sweeply is connected and your rooms, reservations and room statuses are live within 24 hours, with no hardware, no server and no IT project.

What do we need before day one?
Every module runs on the same core, so most of the setup is done once. This is what each module needs.
Housekeeping
PMS: one of the 20+ supported property management systems, or Sweeply on its own with room statuses set in Sweeply.
Devices: staff smartphones (iOS or Android) for the mobile app, and a computer for managers using the web app.
Roles: Admin, House Manager, Senior Housekeeper and Housekeeper.
Access level: a PMS user or approval for the integration, depending on your PMS. Each PMS page under Integrations explains exactly what it needs.
Data inputs: your rooms and other units, unit groups such as floors, cleaning rules, and each team memberโs phone number.
Maintenance
PMS: optional. Maintenance can run on its own, and several hotels start there before connecting their PMS.
Devices: staff smartphones with a camera to report issues with a photo, and a computer for managers.
Roles: Admin, House Manager and User.
Access level: none beyond Sweeply user accounts when running on its own.
Data inputs: your rooms and other units, and each team memberโs phone number. Issue categories come with defaults, which you can customise yourself or with the Sweeply team.
Guest Connect
PMS: a supported PMS, so every request is linked to the right room and stay. It runs alongside Housekeeping.
Devices: none for guests to install. Guests use a digital guest page on their own phone.
Roles: requests arrive as tasks for your existing Sweeply users.
Access level: the same PMS connection as Housekeeping.
Data inputs: a QR code in each room that opens the guest page, or a connection to the guest communication platform you already use, so guests reach the guest page there.
AI agents
PMS: a supported PMS, because the agents read reservation data and remarks from it.
Devices: none beyond what your team already uses for Sweeply.
Roles: tasks created by the agents go to your existing Sweeply users.
Access level: the same PMS connection as your other modules.
Data inputs: reservation data and remarks from your PMS. Our team helps you set up the agents for your hotel.
What are the steps to go live?
Connect your PMS. On a supported PMS, your rooms, reservations and room statuses are live within 24 hours. Many PMS connect during sign-up, and some, such as Oracle OPERA Cloud, are set up together with our team and your PMS administrator.
Set up your property. Check that all rooms appear, remove units you donโt need, group rooms by floor or location, add other areas you clean such as hallways, and set the cleaning rules that match your procedures.
Add your team. Create a user for everyone involved and give each person a role. Each user gets an SMS to download the mobile app and log in with their phone number, and office staff use the web app.
Train your team. Training a full team takes one to two days. Show everyone the room status colours and icons, how to start and stop a cleaning, and how to report an issue with a photo. Most housekeepers work confidently within their first shift.
Go live. On the day before or the morning of your first day, set every room to its real cleaning status in one bulk update, then assign tasks or let your team pick rooms. Most hotels run a full housekeeping day in Sweeply within their first week.
Who does what during implementation?
Sweeply: connects your PMS, together with your PMS administrator where the PMS requires it, helps set up AI agents, and answers questions by chat or at support@getsweeply.com.
Your Sweeply onboarding contact: a named person at Sweeply who runs one to three onboarding meetings with your team, depending on the size and complexity of your operation.
Your Sweeply admin: sets up rooms, unit groups, cleaning rules and users.
Your PMS administrator: provides or approves PMS access where your PMS requires it.
Your managers: train the team and run the first days in Sweeply.
Your team: installs the app, logs in and works through a first cleaning and a test issue.
How do we know implementation is done?
Implementation is done when your hotel runs a normal day in Sweeply. In practice that means:
Your PMS is connected and rooms, reservations and room statuses are syncing, or Sweeply is set up to run on its own.
Every room and other unit is in the right group, with cleaning rules that match your procedures.
Every team member has the app installed and has logged in.
Every team member has started and stopped a cleaning and reported a test issue with a photo.
Cleaning statuses in Sweeply match reality on your first day.
Your team has run a full housekeeping day in Sweeply.
What if our PMS isnโt supported yet?
Sweeply can run on its own, with room statuses set in Sweeply rather than synced from the PMS, and several hotels start that way on Maintenance. Building a new PMS integration takes two to three weeks once a hotel commits.
