Hotel room status codes explained: OOO, OOS, VD and more

A plain guide to the hotel room status codes housekeeping and the front desk use every day, from vacant dirty to out of service. It explains how out of order differs from out of service and how to keep room status accurate in real time.

Hotel room status codes explained: OOO, OOS, VD and more

In short

• The most common hotel room status codes are VC, VD, OC, OD, OOO and OOS, though each PMS uses its own set. • In Oracle OPERA Cloud, out of order rooms are removed from inventory while out of service rooms remain in inventory and can be assigned. • Mews requires a space to be marked Inspected before a reservation can be checked into it. • Live room status depends on two way sync between the PMS and the housekeeping app, so checkouts and cleaned rooms update without phone calls. • Woolacombe Bay eliminated more than 50 daily calls between departments once room status flowed automatically.

Hotel room status codes are short labels that tell housekeeping and the front desk what state each room is in: whether it is occupied or vacant, clean or dirty, inspected, or blocked for repairs. The most common are VC (vacant clean), VD (vacant dirty), OC (occupied clean), OD (occupied dirty), OOO (out of order) and OOS (out of service). The exact codes vary by PMS, so every hotel should agree in writing what each one means before staff rely on them.

This guide explains the codes you will meet most often, the difference between out of order and out of service, and how to keep room status accurate during a busy shift. A short disclosure: Sweeply sells housekeeping software that updates room status from a phone, so we have a stake in this topic. The definitions apply whichever system you use.

What are the most common hotel room status codes?

Most codes combine two facts: occupancy (is a guest registered to the room?) and condition (has it been cleaned?). Some PMS platforms add codes for inspection, guest preferences and blocked rooms. The table below covers the codes most hotels use, with the plain meaning behind each one.

Code

Meaning

Usually set by

Can it be sold tonight?

VC

Vacant clean: no guest, cleaned and ready

Room attendant

Yes, once your inspection rule is met

VD

Vacant dirty: no guest, still needs cleaning

PMS at checkout

Not until it is cleaned

OC

Occupied clean: guest in house, room serviced today

Room attendant

Already sold

OD

Occupied dirty: guest in house, service still due

PMS overnight

Already sold

Inspected

Cleaned and checked by a supervisor

Supervisor

Yes

Pickup

A light touch up rather than a full clean

Supervisor or attendant

After the touch up

DND

Do not disturb: the guest has asked for no entry

Guest or attendant

Already sold

OOO

Out of order: removed from inventory for repairs or other reasons

Maintenance or front office

No

OOS

Out of service: a minor issue, but the room stays in inventory

Maintenance or front office

Usually yes, depending on the PMS

Two codes describe the guest rather than the room. A stayover is a guest who remains in the room for another night, and due out (DO) is a guest expected to check out today. For the guest facing terms such as opt out and no service, see our guide to hotel housekeeping terms, and the housekeeping glossary for short definitions.

What is an out of service room in a hotel?

An out of service room has a minor problem, such as a loose curtain rail or a stained armchair, but it stays in the room inventory. In Oracle OPERA Cloud, out of service rooms remain in inventory and can still be assigned to a reservation. The status is a warning to the front desk: use this room last, or fix it first.

An out of order room is different. OPERA Cloud removes out of order rooms from the room inventory, so they cannot be assigned at all. Oracle gives a simple example: in a 100 room hotel with 5 rooms out of order, 100% occupancy is reached when 95 rooms are occupied. That is why the choice of status matters for reporting as well as for the floor.

Out of order (OOO)

Out of service (OOS)

Stays in inventory

No

Yes

Can be assigned to a guest

No

Usually, depending on the PMS

Typical reasons

Water leak, broken heating, renovation

Minor repair, cosmetic damage

Effect on reporting

Reduces the rooms available to sell

Room still counts as available

Vendors do not all use the same rules, so check how your own PMS treats each status before you train the team. Whatever the system, a room should never sit in either status without a reason, an owner and an expected return date.

What is the difference between clean and inspected?

Clean means the attendant has finished the room. Inspected means a supervisor has checked it and released it for the next guest. Some properties inspect every room, others only checkouts, VIP arrivals or rooms cleaned by new starters.

Your PMS may enforce the rule for you. Mews notes that a space must be marked Inspected before a reservation can be checked into it. In OPERA Cloud, the Inspected and Pickup statuses are optional controls that each property switches on. If inspection is required but supervisors are working from paper, clean rooms wait at the front desk for no good reason.

What are skip and sleep discrepancies?

A discrepancy is when housekeeping and the front office disagree about a room. Two are worth knowing by name:

  • Skip. The front office shows the room as occupied, but housekeeping finds it empty, with no luggage and an unused bed. The guest may have left without checking out.

  • Sleep. The front office shows the room as vacant, but housekeeping finds a guest or luggage in it. The checkout may have been posted to the wrong room.

Both cost money and both are caught by people walking the floor. The faster an attendant can report what they see, the sooner reception can resolve it before the room is sold twice or left empty.

How do you track room cleaning status live?

Room status is only useful if it is current. On paper, a room cleaned at 10:40 might reach the front desk at 11:30, after a phone call or a radio message. Live tracking needs three things to work together:

  1. Checkouts flow from the PMS to housekeeping. The moment reception checks a guest out, the room appears as vacant dirty on the attendant's phone, already prioritised against arrivals.

  2. Attendants update status where they stand. One tap marks a room clean, and the supervisor sees it in the inspection queue straight away.

  3. Status flows back to the PMS. Inspected rooms show as ready at reception without anyone picking up a phone.

This two way sync is what removes the calls. Woolacombe Bay, on Guestline, eliminated more than 50 daily calls between departments once room status flowed automatically. Sweeply connects with 20+ PMS platforms, which you can see on our integrations page. For the handover between the two teams in more detail, read our guide on connecting front desk and housekeeping in real time.

Can housekeepers update room status instantly?

Yes, if they work from a mobile app connected to the PMS rather than a printed list. The update should take seconds and should cover more than clean or dirty:

  • Faults. A broken lamp reported with a photo should become a task for the technical team, and the room can be set out of service in the same step. Our maintenance module and our guide to tracking repairs digitally cover this flow.

  • Guest choices. When guests decline a stayover clean, the room should show that before an attendant knocks. At Keahotels, 71% of guests declined daily housekeeping once they were asked, which saved 179 hours in one month. Guest choices like this come in through Guest Connect.

  • Reservation notes. Requests such as an extra bed or a late checkout change what a room needs. Our AI agent Tracey reads reservation remarks and turns them into tasks with 99.7% accuracy.

Language matters here too. If the app only works in English, some attendants will tell a colleague instead of tapping a button. Sweeply translates the interface and staff written text into 30+ languages.

How should a hotel agree its room status definitions?

Most status problems are not software problems. They come from two shifts using the same word for different things. Before you change any tool, agree the rules:

  1. Write one line per status. Define clean, inspected, out of order and out of service in plain words, including who may set and clear each one.

  2. Decide your inspection rule. Every room, checkouts only, or a sample. Then make the system enforce it.

  3. Require a reason and a return date for blocked rooms. Review every out of order room each morning so none is forgotten.

  4. Standardise across properties. In a hotel group, central definitions make reports comparable. Our guide to rolling out operations software across a hotel group covers what to standardise and what to leave local.

Where this guide does not apply

  • Very small properties. If the owner checks guests in and cleans the rooms, a shared calendar may tell you everything a status code would.

  • PMS specific rules. Codes and their effect on inventory differ between systems and versions. Your PMS documentation is the final word for your property.

  • Accounting and revenue reporting. How out of order rooms affect occupancy and RevPAR in your reports is a decision for your finance and revenue teams, not something to change on the floor.

  • Contracted cleaning. If an outside contractor cleans your rooms with its own system, agree how status reaches your PMS before you change anything.

Conclusion

Room status codes only help when everyone reads them the same way and they change the moment a room does. Agree your definitions, connect housekeeping to the PMS and let attendants update status from where they stand.

Frequently asked questions

What is an out of service room in a hotel?

An out of service room has a minor issue but stays in the room inventory. In Oracle OPERA Cloud it can still be assigned to a reservation, unlike an out of order room, which is removed from inventory until it is fixed.

How to track room cleaning status live?

Connect a mobile housekeeping app to your PMS with two way sync. Checkouts appear on attendants' phones as vacant dirty, attendants mark rooms clean with one tap, and inspected rooms show as ready at reception without a phone call.

Can housekeepers update room status instantly?

Yes, when they work from a mobile app connected to the PMS instead of a printed list. A good app also lets them report faults with a photo and set a room out of service in the same step.

What does out of order mean in a hotel?

An out of order room is taken out of the room inventory, usually for repairs or renovation, so it cannot be sold or assigned. In OPERA Cloud, a 100 room hotel with 5 rooms out of order reaches 100% occupancy at 95 rooms occupied.

What is a skip in hotel housekeeping?

A skip is when the front office shows a room as occupied but housekeeping finds it empty, with no luggage and an unused bed. It usually means the guest left without checking out, and reception should resolve it quickly.
