How to connect your PMS to housekeeping

Connecting your property management system (PMS) to housekeeping means arrivals, departures, stayovers and room status flow automatically between the front desk and your housekeeping team, so nobody retypes data or phones to ask whether a room is ready. Sweeply connects two-way with 20+ PMS, including Mews, Apaleo, OPERA Cloud and Cloudbeds, and on a supported PMS your rooms and reservations are usually live within 24 hours.

What syncs between your PMS and housekeeping?

Your PMS stays the system of record for reservations. Sweeply reads what housekeeping needs from it and writes room status back, so the front desk and housekeeping work from the same picture.

Exactly what syncs depends on your PMS, and each integration page lists it. With HotelTime, bookings come in through Orea, but cleaning status is not yet written back.

Which PMS can you connect?

Sweeply has 20+ two-way PMS integrations, including Mews, Apaleo, Oracle OPERA Cloud, Cloudbeds, VisBook, Guestline, Sihot, Infor, Clock PMS+ and GoDo. See the full list on our PMS integrations page.

If your PMS isnโ€™t on the list yet, Sweeply can run on its own, with room statuses set in Sweeply, and building a new PMS integration takes two to three weeks once a hotel commits.

How do you connect your PMS to Sweeply?

  1. Connect your PMS. Many PMS connect during sign-up or from the PMSโ€™s own marketplace, such as the Mews Marketplace, the Apaleo Store and the Cloudbeds Marketplace. Some, such as Oracle OPERA Cloud, are set up together with our team and your PMS administrator.

  2. Check your rooms. Make sure every room appears, group rooms by floor or location and set the cleaning rules that match your procedures.

  3. Add your team. Each user gets an SMS to download the mobile app and log in with their phone number, and office staff use the web app.

  4. Train your team. Training a full team takes one to two days, and most housekeepers work confidently within their first shift.

  5. Go live. Set every room to its real cleaning status in one bulk update, then assign rooms or let your team pick them.

The full checklist, with what each module needs, is on our implementation page.

What changes for the front desk and housekeeping?

  • The front desk sees live cleaning progress for every room, so guests can check in as soon as their room is ready.

  • Supervisors assign rooms, set priorities and follow progress room by room in Sweeply Housekeeping, without retyping data from the PMS.

  • Housekeepers work from a mobile app in 30+ languages, and the notes colleagues write are translated into each personโ€™s language.

  • Anyone can report a defect from the room with a photo, and Maintenance routes it to the right person.

  • With Guest Connect, guests choose how often their room is cleaned, and housekeeping works from each choice.

How did Volkshotel connect Mews and housekeeping?

Volkshotel, a 196-room city hotel in Amsterdam, moved to the Mews PMS and found that its existing task system wasnโ€™t compatible. Housekeeping Manager Marion Le Tiec chose Sweeply for its ease of use and visual clarity.

Stayover cleaning requests, which used to mean physically checking all 196 rooms, are now handled through the front desk. A team of 33 nationalities works from one visual, language-neutral room status, and onboarding new staff for a housekeeping team of 150+ became much faster.

Read the Volkshotel case study or see how the Mews integration works.

Do you still need housekeeping features in your PMS?

Sweeply is not a PMS. Your PMS keeps running reservations, payments and check-in, and Sweeply adds the operational layer on top: housekeeping, maintenance, guest requests and AI agents.

Frequently asked questions

How long does it take to connect a PMS to housekeeping?

On a supported PMS, rooms, reservations and room statuses are usually live in Sweeply within 24 hours of connecting. Training your team takes one to two days.

Does the PMS integration cost extra?

No. Two-way PMS sync is included in every module. Sweeply is priced per sellable room per month for each module, and non-sellable space is free. See pricing for how it applies to your hotel.

Do I need IT support or hardware to connect my PMS?

No hardware or server is needed. Depending on your PMS, you need a PMS user or approval for the integration, and for some systems, such as Oracle OPERA Cloud, your PMS administrator sets it up with our team.
