STAYERY: from chaos to clarity across serviced apartments
About this case study
STAYERY blends boutique-hotel style with modern serviced apartments across Berlin, Cologne, Frankfurt, and Bremen. As it opened more locations, Operations Manager Daniel found that juggling Excel spreadsheets and WhatsApp no longer scaled. Sweeply, integrated with the Apaleo PMS, automated stayover cleans and standardised operations across every location.

The challenge
As STAYERY grew, its old way of working couldn’t keep up. The team was juggling Excel spreadsheets and WhatsApp chats, which technically worked but was neither sustainable nor scalable. From missed stayover cleans to last-minute room status updates, the lack of a centralised system created friction and added pressure to already stretched teams, with more risk of things getting lost or forgotten as locations multiplied. Managing stayover cleans for mid- and long-stay guests, needed every seven days, previously meant manual calculations and Excel entries.
How Sweeply helped
Daniel’s team wanted to boost staff efficiency, improve guest satisfaction, reduce avoidable mistakes, sharpen task management, and standardise procedures across locations. Sweeply stood out as clearly built with hospitality in mind, with the Apaleo integration a major win and the Traces function keeping internal communication tight. Transparent pricing with no hidden fees or complicated onboarding costs, plus a responsive, feedback-driven team, sealed the fit. Through the Apaleo integration, stayover cleans are now scheduled automatically, with rooms appearing in Sweeply exactly when needed and adjusting if a guest extends their stay.
The result
STAYERY’s operation is now faster, more flexible, and less stressed, especially during high-pressure check-in and check-out windows. Colour-coded, single-tap task assignment means everyone knows what’s happening and when, and even new staff pick it up quickly without lengthy onboarding. Communication between teams is faster, updates are real-time, there’s less paper waste and fewer errors, and staff spend more time with guests. The team has also started tracking internal KPIs such as average cleaning durations and recurring maintenance issues across locations, giving insight into where to invest in staffing, equipment, or specific room types.
Testimonial
“Task assignment is way smoother now, and our teams spend less time figuring things out and more time actually getting things done. We're more agile during busy check-in/check-out phases, which means less stress all around.”

Woolacombe Bay Hotel
Woolacombe Bay: goodbye paper, hello efficiency
On the North Devon coast, Woolacombe Bay Hotel runs a 63-room luxury property without a general manager, leaving department heads like Housekeeping Manager Robert Vargau to coordinate everything. Sweeply replaced endless phone and walkie-talkie calls with real-time task management, integrated directly with the hotel's Guestline PMS.

BOOK-IT Apartments
BOOK-IT: one source of truth across 200 apartments
Sebastian Gietl, CEO of family-owned BOOK-IT Apartments in Erlangen, runs 200+ serviced apartments across multiple properties. The apart-hotel model, with longer stays, less frequent service, and no 24/7 front desk, demands autonomous housekeeping and maintenance. Sweeply replaced a scattered software landscape with a single centralised platform, integrated with the Apaleo PMS, and cut the housekeeping team lead's coordination time by around 30%.

The Flag Zurich
The Flag Zurich: 80% fewer guest complaints
The Flag Zurich, part of a modern hotel group serving both business and leisure guests, struggled with operational visibility under a paper-based system. Resident Manager Felix Bauch introduced Sweeply, integrated with the Apaleo PMS, and saw guest complaints about item requests and room changes drop by around 80%, while saving at least 8 hours a week.
