Housekeeping app for hotel staff: what it should do on shift

A housekeeping app gives room attendants their rooms, cleaning types and notes on a phone and updates the front desk the moment a room is done. This guide covers what the app should do on shift, what PMS mobile views include and when a dedicated app is worth it.

Housekeeping app for hotel staff: what it should do on shift

In short

• A housekeeping app gives room attendants their rooms in priority order, the cleaning type for each room and reservation notes on a phone. • Marking a room done in the app should update the supervisor and front desk straight away and add the room to an inspection queue. • Mews and Oracle OPERA Cloud both include mobile housekeeping views for changing room status, according to their own documentation. • Sweeply translates the interface and staff written text into 30+ languages, which Volkshotel uses with a team from 33 nationalities. • Íslandshótel saves 22,000 hours a year across 18 properties, with about 70% of guests opting out of daily housekeeping.

A housekeeping app is the screen a room attendant works from during a shift: their rooms in priority order, the cleaning type for each one, notes from the reservation and a quick way to mark a room done or report a fault with a photo. A good one updates the front desk the moment a room is finished and shows every instruction in the attendant's own language. Most PMS platforms include a basic mobile housekeeping view, while a dedicated app adds rules, maintenance and guest requests on top.

This guide looks at the app from the attendant's side: what it should show at the start of a shift, what should happen when a room is finished, and how to tell whether the view in your PMS is still enough. A short disclosure: Sweeply sells housekeeping software, so we have a stake in this topic. The checklist works whichever tool you choose.

What is a housekeeping app, and who uses it?

It replaces the printed room list, the radio and the WhatsApp group with one shared source of truth on a phone. Three groups use it every day, and each needs something different from it.

  • Room attendants need a short, clear list of what to clean next and how, with as little reading and typing as possible.

  • Supervisors and the head of housekeeping need to assign rooms, inspect finished rooms and see who is behind before it becomes a late check in.

  • Front desk and maintenance need room status they can trust without phoning anyone, and fault reports that arrive with a room number and a photo.

If the app only serves one of these groups, the other two go back to the radio. That is the most common reason a housekeeping app gets abandoned a few months after launch.

What should a housekeeping app show at the start of a shift?

When an attendant opens the app at the start of the day, the list should already be built. Nobody should be copying room numbers from a printout. Look for these five things:

  • Rooms in a sensible order. Departures with early arrivals first, then other departures, then stayovers, with the order updating as the front desk checks guests out.

  • The right cleaning type per room. Checkout clean, stayover clean, deep clean or no service, so nobody cleans a room the guest asked to skip.

  • Reservation notes that matter on the floor. An extra bed, a cot, allergies, a VIP or a late checkout, written as a task and not buried in a remarks field.

  • Do not disturb and refused service. One tap to record it, so the supervisor and front desk see it straight away.

  • Colours and icons for status. Many attendants scan rather than read, so status should be clear without words.

Our guide to how housekeeping software assigns rooms automatically covers how the list itself gets built and balanced across a team.

What should happen when an attendant taps done?

This is where an app earns its keep. A room marked clean on paper only helps once someone walks the list to reception. In an app, one tap should set off several things at once. The table compares the same moments in a shift with and without one.

Moment in the shift

Paper list and radio

Housekeeping app

Room finished

Attendant radios or waits until the list goes back to reception

Status updates for the supervisor and the front desk straight away

Inspection

Supervisor walks the floor to find out which rooms are ready

Finished rooms appear in an inspection queue, with results recorded

Fault found

Verbal message or a note that may reach maintenance later

Fault report with room number and photo goes to maintenance as a task

Guest asks to skip cleaning

Front desk phones housekeeping, or forgets

Room switches to no service on the attendant's list

End of day

Someone retypes the list into a spreadsheet

History of every room and task is already recorded

Fault reporting matters more than it looks. When an attendant can photograph a dripping tap and send it to the maintenance team in two taps, problems get fixed before the next guest finds them.

Which hotel management systems provide mobile apps for housekeeping and room status updates?

Many do, and it is worth knowing exactly what yours offers before you buy anything else. Two examples from the vendors' own documentation:

  • Mews. In the Mews app, housekeepers can find a space, change its status and add a reason for the change. Managers can assign spaces to employees and filter by status, including Clean, Dirty, Inspected, Out of order and Out of service.

  • Oracle OPERA Cloud. The OPERA Cloud mobile app runs in a phone browser and lets attendants work from their task sheet, change room status and manage maintenance tasks, depending on which OPERA Controls and roles are active.

A PMS view is often enough for a single hotel with simple clean or dirty routines. Hotels usually look for a dedicated app when they need rules that go beyond room status, a maintenance workflow in the same place, guest requests and multilingual teams on one screen. We compared these options in more depth in Mews housekeeping vs a dedicated housekeeping app.

Whatever you are evaluating, these are the questions to ask in a demo:

What to check

Why it matters on shift

Does status sync both ways with your PMS in real time?

Front desk stops phoning housekeeping to ask if a room is ready

Can rules create stayover, deep clean and no service tasks automatically?

Supervisors stop building the list by hand every morning

Are maintenance faults and guest requests in the same app?

Attendants report once instead of choosing between three channels

Is free text translated, not just the menus?

A note written in Dutch is readable by an attendant who reads Tagalog

How long does it take a new attendant to learn?

High turnover means training happens every month, not once

How should a housekeeping app handle a multilingual team?

Translating the menus is not enough. The notes are where the risk sits: a supervisor writes "guest allergic to feathers, use the synthetic pillows" and the attendant needs to understand it in their own language. Sweeply translates the interface and staff written text into 30+ languages, so each person reads tasks and notes in the language they choose.

Volkshotel in Amsterdam runs 196 rooms with a team from 33 nationalities on Mews, which is why language mattered so much there. Read the Volkshotel case study and our guide to managing a housekeeping team with no shared language.

Can a housekeeping app reduce the number of rooms to clean?

Yes, when guests can choose. If guests can skip a stayover clean from their phone and that choice lands on the attendant's list automatically, the app stops being only a task list and starts removing work. Sweeply does this with Guest Connect.

Can tasks appear in the app without anyone typing them?

They can. Reservation remarks such as "baby cot needed" or "extra towels on arrival" are a common source of missed work, because someone has to read them and turn them into tasks. Tracey, one of Sweeply's AI agents, reads those remarks from the PMS and routes them to the right team as tasks, with 99.7% accuracy. At THE FLAG in Zurich, on Apaleo, this saves about 8 hours a week and cut complaint related tasks by 80%. Read THE FLAG case study.

How do you know your current setup is no longer enough?

Watch for these signs:

  • The front desk still phones or radios housekeeping several times an hour to check on rooms.

  • Supervisors rebuild the room list by hand every morning.

  • Maintenance faults reach the technical team through a chat group, and nobody knows which are fixed.

  • New attendants need days of shadowing before they can use the system.

  • Guest requests and housekeeping preferences arrive through channels the attendants never see.

Woolacombe Bay, on Guestline, eliminated more than 50 daily calls after moving housekeeping into an app (case study). BOOK-IT cut communication time by 30% (case study).

How does Sweeply's housekeeping app work?

Sweeply is not a PMS. It is the operational layer on top of your PMS, connected through more than 20 PMS integrations, so reservations and room status flow in and updates flow back. Housekeeping, Maintenance, Guest Connect and AI agents are separate modules you can adopt on their own or together, and attendants see all of it in one app.

Pricing is per sellable room per month for each module, and non sellable spaces such as lobbies and corridors are free. Íslandshótel onboarded 18 properties in 5 weeks, so a rollout does not have to take a season. If you are comparing vendors, our guide to comparing hotel housekeeping software sets out a fair pilot.

Where this guide does not apply

  • Very small properties where the owner cleans. With a handful of rooms and one person doing the work, a shared calendar may be all you need.

  • Floors without phone signal or Wi-Fi. Any mobile app depends on staff being able to use a phone where they work. Fix coverage first.

  • Problems that are about staffing levels. An app removes coordination time. It does not make up for a team that is simply too small for the occupancy.

  • Contracts that dictate the tools. If a cleaning contractor is obliged to use its own system, agree the handover with them before choosing software.

Conclusion

A housekeeping app is only as good as what happens when an attendant taps done. Choose one that builds the list for them, speaks their language, sends status and faults to the right people instantly and lets guests remove work they do not want.

Frequently asked questions

What mobile housekeeping apps help hotel staff manage daily tasks?

Two kinds: the mobile housekeeping views built into PMS platforms such as Mews and Oracle OPERA Cloud, and dedicated apps such as Sweeply that sit on top of the PMS. Dedicated apps add rules for stayover and deep cleans, maintenance, guest requests and translation for multilingual teams.

Which hotel management systems provide mobile apps for housekeeping and room status updates?

Many PMS platforms do. The Mews app lets housekeepers change space status and lets managers assign spaces, and the OPERA Cloud mobile app lets attendants work from task sheets and update room status. A dedicated housekeeping app connects to these systems and syncs status in real time.

Is Mews's housekeeping module available as a mobile app for staff?

Yes. According to Mews's help centre, housekeepers can use the Mews app to find a space, change its status and add a reason, and managers can assign spaces to employees. Hotels that also need rules, maintenance and translation often add a dedicated app on top of Mews.

How long does it take to roll out a housekeeping app?

It depends on the number of properties and the PMS. Íslandshótel onboarded 18 properties onto Sweeply in 5 weeks, with reservations and room status flowing in from the PMS from the start.

What does a housekeeping app cost?

Sweeply is priced per sellable room per month for each module, and non sellable spaces such as lobbies are free. Prices are not public because they depend on room count and modules, so book a call with the sales team for a figure.
