The HotelKey PMS housekeeping integration connects HotelKey to Sweeply, so rooms, reservations and room blocks drive housekeeping, maintenance and guest requests, and clean and dirty rooms show up at the front desk. HotelKey stays your PMS, and Sweeply is the operational layer your teams use on the floor.

What syncs between HotelKey and Sweeply

• Rooms appear in Sweeply with the room numbers from HotelKey.

• Reservations (arrivals, stays, check-outs, cancellations and no-shows) update in Sweeply as they change.

• Room status syncs two-way: when housekeeping marks a room clean or dirty in Sweeply, HotelKey is updated too.

• Maintenance blocks in HotelKey show as out of order in Sweeply.

• Housekeeping: Sweeply Housekeeping builds each day’s cleaning board from HotelKey reservations, so supervisors can assign rooms and housekeepers update statuses from their phones. Housekeepers work from a mobile app in 30+ languages, and text written by colleagues is translated into each person’s language.

• Maintenance: with Sweeply Maintenance, anyone on the team can report a defect from the room, add a photo and route it to the right person, so repairs are tracked rather than passed on by phone or on paper.

• Front desk and guest requests: the front desk sees live cleaning progress for every room, and Guest Connect lets guests send housekeeping service requests and report maintenance issues from their Guest Page, which arrive in Sweeply as tasks.

• AI agents: Sweeply AI Agents include Tracey, which reads reservation remarks and notes and routes them to tasks with 99.7% accuracy, and Roomey, which assigns rooms by trying 20,000 combinations. Our team will confirm which agent features apply to your HotelKey setup.

How to connect HotelKey to Sweeply

1. Ask your HotelKey contact for your HotelKey web address, your property ID and the Room Status read and write credentials.

2. Open the HotelKey sign-up page in Sweeply, then create your organization or sign in to the one you want to connect.

3. Enter your HotelKey web address, property ID and Room Status credentials. Sweeply checks them straight away.

4. Select Connect. Sweeply imports your rooms and reservations, and an administrator switches on room status updates to HotelKey once the setup is checked.

Frequently asked questions

Do I need to replace HotelKey housekeeping?

No. Sweeply runs on top of HotelKey, not instead of it. HotelKey stays your PMS and system of record for reservations, and Sweeply adds the operational layer for housekeeping, maintenance and guest requests.

How long does setup take?

On a supported PMS such as HotelKey, rooms, reservations and room statuses are live in Sweeply within 24 hours of connecting. Training your team takes one to two days.

Does Sweeply send room status back to HotelKey?

Yes. Clean and dirty statuses set in Sweeply are written back to HotelKey. New accounts start with these updates switched off, so an administrator can check the setup first and then switch them on in Sweeply’s PMS connection settings.
