Volkshotel: streamlined housekeeping in four months
Sobre ese caso
Set in the former headquarters of Dutch newspaper De Volkskrant, Amsterdam's architect-designed Volkshotel has 196 rooms, a coworking space, a nightclub, a restaurant, and a rooftop sauna. After moving to the Mews PMS, Housekeeping Manager Marion Le Tiec adopted Sweeply for its ease of use and visual clarity, and in just four months saw more efficient processes, faster repairs, and smoother onboarding.

The challenge
The catalyst was a new PMS, Mews. Volkshotel’s existing task management system wasn’t compatible with the new technology, so Marion looked for a replacement, taking the opportunity to find a tool that was easy for the whole company to use and would improve communication between departments. With 33 different nationalities on the team, accessibility for all was essential. Marion particularly wanted more efficient communication between the front desk and housekeeping, and a more streamlined way of processing stayover cleaning requests, which previously meant physically checking all 196 rooms.
How Sweeply helped
Volkshotel chose Sweeply for its ease of use and its visual approach, which makes room status clear regardless of language barrier. The team welcomed the new technology, and strong change management made the transition smooth. In the first few weeks, Volkshotel requested adjustments to Sweeply’s reports, and the Sweeply team delivered the customisation so the hotel could see the data that made most sense for its setup. Stayover cleaning requests are now processed by the front desk rather than housekeeping, and Sweeply’s Issues feature lets every worker in the building report defects.
The result
In four months, Volkshotel saw great progress across daily operations. Stayover cleaning requests, once a manual room-by-room task across all 196 rooms, are now handled quickly through the front desk. The Issues feature means defects are caught and logged by anyone in the building and picked up faster by the maintenance team, improving both the guest experience and the working day. Onboarding new housekeeping staff, critical for a team of over 150 people, became much faster and shorter thanks to the app’s built-in training and intuitive design, boosting staff confidence and engagement.

Woolacombe Bay Hotel
Woolacombe Bay: goodbye paper, hello efficiency
On the North Devon coast, Woolacombe Bay Hotel runs a 63-room luxury property without a general manager, leaving department heads like Housekeeping Manager Robert Vargau to coordinate everything. Sweeply replaced endless phone and walkie-talkie calls with real-time task management, integrated directly with the hotel's Guestline PMS.

BOOK-IT Apartments
BOOK-IT: one source of truth across 200 apartments
Sebastian Gietl, CEO of family-owned BOOK-IT Apartments in Erlangen, runs 200+ serviced apartments across multiple properties. The apart-hotel model, with longer stays, less frequent service, and no 24/7 front desk, demands autonomous housekeeping and maintenance. Sweeply replaced a scattered software landscape with a single centralised platform, integrated with the Apaleo PMS, and cut the housekeeping team lead's coordination time by around 30%.

The Flag Zurich
The Flag Zurich: 80% fewer guest complaints
The Flag Zurich, part of a modern hotel group serving both business and leisure guests, struggled with operational visibility under a paper-based system. Resident Manager Felix Bauch introduced Sweeply, integrated with the Apaleo PMS, and saw guest complaints about item requests and room changes drop by around 80%, while saving at least 8 hours a week.
