The Views Hotels: sustainability starts with smart operations
Sobre ese caso
On the island of Madeira, the family-owned The Views Hotels group runs 750 rooms across three hotels, The Baia, The Monumental, and The Oasis, and has been ISO 14001 certified since 2011. Operations Manager Sergio Costa turned the group's sustainability vision into daily practice by replacing paper-based workflows with Sweeply, integrated with the Host PMS. At The Views Oasis alone, one year of partnership delivered an estimated 5,370 euros in monthly savings.

The challenge
The Views had strong sustainability ambitions but its internal workflows told a different story. Housekeeping schedules, maintenance requests, and room readiness updates were managed on paper or over the phone, and with no centralised digital system, miscommunication was constant. The team had worked with Host PMS for over a decade, which held crucial operational data, but they needed a way to bring that data to life.
How Sweeply helped
With Sweeply, the transition was smoother than expected. The Sweeply team flew to Madeira to carry out implementation on-site, taking about three days of a couple of hours each; by the fourth day people were comfortable, and after a month the hotel stopped using paper completely. Sergio knew change management would be key and asked for in-person support, reflecting an approach built on empathetic rollout, simplicity, and genuine human help. Sweeply pulls real-time data from Host, such as room status and housekeeping schedules, and pushes updates back instantly to trigger cleaning tasks and room turns without manual follow-up.
The result
The benefits were immediate. Teams across departments communicate more clearly, with staff quickly recognising icons, housekeeping managers gained real-time visibility, and front desk agents can update guests on room status without guesswork. Paper was eliminated and the No Clean programme, where guests opt out of daily housekeeping, became easier to manage and track. At The Views Oasis, housekeeping activities fell by 60% on average as guests skipped daily cleaning, saving 25 euros per room per month in housekeeping salaries and 2.1 euros per room per month on energy and water, for an estimated total of around 5,370 euros in monthly savings. Freed from paperwork, front office teams now spend more time engaging guests in the lobby.

Woolacombe Bay Hotel
Woolacombe Bay: goodbye paper, hello efficiency
On the North Devon coast, Woolacombe Bay Hotel runs a 63-room luxury property without a general manager, leaving department heads like Housekeeping Manager Robert Vargau to coordinate everything. Sweeply replaced endless phone and walkie-talkie calls with real-time task management, integrated directly with the hotel's Guestline PMS.

BOOK-IT Apartments
BOOK-IT: one source of truth across 200 apartments
Sebastian Gietl, CEO of family-owned BOOK-IT Apartments in Erlangen, runs 200+ serviced apartments across multiple properties. The apart-hotel model, with longer stays, less frequent service, and no 24/7 front desk, demands autonomous housekeeping and maintenance. Sweeply replaced a scattered software landscape with a single centralised platform, integrated with the Apaleo PMS, and cut the housekeeping team lead's coordination time by around 30%.

The Flag Zurich
The Flag Zurich: 80% fewer guest complaints
The Flag Zurich, part of a modern hotel group serving both business and leisure guests, struggled with operational visibility under a paper-based system. Resident Manager Felix Bauch introduced Sweeply, integrated with the Apaleo PMS, and saw guest complaints about item requests and room changes drop by around 80%, while saving at least 8 hours a week.
