Excellence Hotels: the end of manual room assignments
Über diese Fallstudie
Excellence Hotels operates a 3-star hotel in Stockholm plus three apartment hotels across Stockholm and Gävle, a mix that creates high housekeeping turnover and complex scheduling. COO Stella needed better structure without adding administrative burden. By integrating Sweeply with the VisBook PMS, Excellence Hotels ended manual room assignments and gave every level of the team clarity and visibility.

The challenge
Before Sweeply, Excellence Hotels’ housekeeping ran on manual room assignments, paper checklists, and constant back-and-forth between departments. The Housekeeping Supervisor spent significant time manually assigning rooms, which was inefficient, while communication gaps between the front desk and housekeeping raised the risk of human error, such as the wrong rooms being cleaned or service requests missed. The team already used VisBook PMS for room and guest data, but there was no clear operational link between what the PMS knew and what housekeeping could act on. Staff had also grown comfortable with paper and were initially sceptical about change.
How Sweeply helped
Excellence Hotels recognised that VisBook already held the right data; the challenge was getting that information to the people who needed it. Integrating Sweeply with VisBook created a direct line between guest data and operational execution, so room statuses, priority tasks, and service requests flow automatically from the PMS into Sweeply and are instantly distributed to the housekeeping team. This freed supervisors from manually distributing task lists to focus instead on managing exceptions, coaching, and strategic oversight.
The result
The workday now starts differently. With Sweeply pulling live data from VisBook, tasks are distributed the moment room statuses change, so staff can log in, see what needs doing, and begin earlier without waiting for printed lists. The clear, colour-coded interface improved structure and daily planning, reducing confusion and mistakes: housekeepers know what to prioritise, front desk sees real-time cleaning status, and supervisors have full visibility without micromanaging. Leadership also gained easily accessible data extracts supporting more accurate budget planning, and the added clarity built trust across the whole operation.
Testimonial
“Our Housekeeping Supervisor was spending a significant amount of time manually assigning rooms to staff, which was really inefficient.”

Woolacombe Bay Hotel
Woolacombe Bay: goodbye paper, hello efficiency
On the North Devon coast, Woolacombe Bay Hotel runs a 63-room luxury property without a general manager, leaving department heads like Housekeeping Manager Robert Vargau to coordinate everything. Sweeply replaced endless phone and walkie-talkie calls with real-time task management, integrated directly with the hotel's Guestline PMS.

BOOK-IT Apartments
BOOK-IT: one source of truth across 200 apartments
Sebastian Gietl, CEO of family-owned BOOK-IT Apartments in Erlangen, runs 200+ serviced apartments across multiple properties. The apart-hotel model, with longer stays, less frequent service, and no 24/7 front desk, demands autonomous housekeeping and maintenance. Sweeply replaced a scattered software landscape with a single centralised platform, integrated with the Apaleo PMS, and cut the housekeeping team lead's coordination time by around 30%.

The Flag Zurich
The Flag Zurich: 80% fewer guest complaints
The Flag Zurich, part of a modern hotel group serving both business and leisure guests, struggled with operational visibility under a paper-based system. Resident Manager Felix Bauch introduced Sweeply, integrated with the Apaleo PMS, and saw guest complaints about item requests and room changes drop by around 80%, while saving at least 8 hours a week.
